Whenever a new external employee joins your team, then your manager must first create a position.
The new external employee is then registered using the ‘Start onboarding external’ self-service option. Use the blue ‘Take action now’ button on this page to start this process.
By registering a new external employee using this self-service option at least four weeks before they are due to start work, then it is more or less guaranteed that the relevant processes will have been carried out in time. Onboarding that is arranged in less than four weeks will generally be processed later (and paid out, if applicable). In the case of external employees who are non-EU nationals, the period is ten weeks. That is because the International Office must first apply for work and residence permits before the individuals concerned are allowed to travel to the Netherlands.
Once all the administrative hurdles have been cleared, it may on very rare occasions be necessary to alter the date of commencement. If this is the case contact the HR Service Desk.
It is not always easy to establish the nature of an employment relationship. The possible variants for external employees are set out below.
Each variant has implications for the position of the person performing the work. If the wrong agreement regarding the nature of the employment relationship has been concluded, the UWV (Employee Insurance Agency) and the Tax and Customs Administration may impose substantial fines and levy additional taxes. The person in question may also claim that they have a contract of employment with VU Amsterdam.
