Managing positions in personnel management

As a manager, you have to create a position in the personnel information system whenever a new employee joins your team. This applies to both permanent and temporary employees. You also have to create a position to register a paid trainee, an external employee or a transfer of an employee to another department or unit.

Please note: if you arrange the onboarding of new internal employee or an external via the self-service options in more than 4 weeks before the effective date, timely processing is in general guaranteed. When international externals with a non-EU nationality are hired, a 10-week deadline applies. Therefore arrange a position in time

What is position management?
Position management facilitates strategic staff planning by providing insight into an organisation’s job structure, job levels and staffing.

Position management is an HR process that supports various HR modules in SuccessFactors, the personnel information system. A link with the financial module ‘Personnel and Forecasting’ offers insight into the financial implications of positions, which Business Control uses to create an overview of your current and future personnel costs.

After setting the annual budget, the business controllers hand over the budgeted staff data to the HR Service Desk, which creates and prepares the budgeted positions for the next academic year in the third and fourth quarters. The manager sees this information in their staffing overview. 

How do you apply for a non-budgeted position?
If a new position is needed in addition to the budgeted positions, the manager must request a position using the Position Management form. To do so, use the blue ‘Take action now’ button on this page. The HR Service Desk will create the new position within one working day.

A new position must also be requested using this form in case of a transfer outside the department or unit.
