Starting a vacancy
VU Amsterdam's ATS guides vacancy holders from the start of a vacancy to the assessment of candidates. Thanks to this system, the VU complies with the GDPR (General Data Protection Regulation).
The vacancy holder can easily start the process themselves, but can also delegate this to a colleague. The information about the vacancy is then entered and participants are added. The system then automatically creates the vacancy.
Users have access to Ubeeo's ATS environment to start new application processes. To do so, use the blue “Take action now” button on this page.
* It is not possible to save a vacancy in progress without filling in all the mandatory fields. The handy checklists ensure that you are aware of the required information before you start creating vacancies. View the checklists for each target group below (in Dutch):

Participants
Participants are colleagues involved in the recruitment process. Only the added participants can view and evaluate candidates. Together, they draw up evaluation criteria that allow them to easily compare candidates. If desired, participants can see how others evaluate the candidates.
Vacancy template
Formatting the job vacancy text is also a lot easier. The system offers various vacancy templates. When choosing a template, consider the target audience you want to reach. Depending on the template, you will be asked to provide relevant details. In terms of content, only the job description, duties and requirements are needed to create the vacancy. All other information is automatically incorporated into the vacancy text.
Approval
Every employee can use their own VUnetID to create a vacancy in the ATS.
The vacancy holder (the employee responsible for the vacancy) enters the vacancy independently via the ATS. This can also be delegated, for example to a management assistant. The project manager is always the vacancy holder. The approval process then begins:
Step 1:
The project manager or management assistant starts the approval process.
Step 2:
The project manager automatically receives an email to approve the vacancy. The project manager then approves what their delegate has entered. If the project manager entered the vacancy themselves, they confirm the entry again.
Step 3:
The vacancy is then forwarded to the selected HR adviser. The HR adviser checks the vacancy and gives their approval.
Step 4:
HR, Health Safety & Environment checks the vacancy. If everything is entered correctly, you receive a confirmation. If something needs to be adjusted, they will get in touch with you.
Step 5:
As a result of agreements made in the Social Plan, reassignment candidates have a preferential position for vacancies. For this, the Mobility Centre receives the vacancy before publication. They assess whether there are suitable reassignment candidates. This may mean that vacancies can be delayed up to two weeks. If the Mobility Centre does not have a suitable candidate, they will approve the vacancy sooner!
Step 6:
After the Mobility Centre's assessment, the vacancy will be published automatically. This is done by default on our own VU channels werkenbij.vu.nl and interne-vacatures.vu.nl. All English-language vacancies are also published on workingat.vu.nl and internal-jobs.vu.nl. Publication via external media is also possible.
