Manuals have been developed for using Ubeeo's new Applicant Tracking System (ATS). These are designed to guide and support through every step of the recruitment process. This will make using the ATS more efficient and easier for everyone.

These manuals are designed to help you navigate through the ATS, even if you are new to the system. We encourage to refer to them whenever necessary and to provide feedback on any additions or improvements you would like to see.

  • Navigating the system

    Can notifications be set for when a new candidate applies?

    All users who have been assigned a role in the vacancy as Recruiter, Job Owner, HR Advisor, or Committee + Invite can change the notifications. You can do this by following the following steps:

    - Go to the vacancy for which you want to receive notifications.

    - Click on “Options” and select the “Living Folder”.

    - Click “Options” again and select “Folder Settings”.

    - Here you can adjust the notification settings to receive notifications.

    Note! When you adjust the notification it is important to remember that all members with an active role in the vacancy will receive the notifications. 

    Is it possible to turn off notifications for reviews given by the selection committee?

    All users who have been assigned a role in the vacancy as Recruiter, Job Owner, HR Advisor, or committee + invite can change the notifications.

    - Go to the vacancy for which you want to disable notifications.

    - Click on “Options” and select the “Living Folder”.

    - Click “Options” again and select “Folder Settings.”

    - Here you can adjust the notification settings to receive notifications.

    Note! When you customize the notification it is important to remember that all members with an active role in the vacancy will receive the notifications.

    As an HR advisor, why don't I have access to the vacancies managed by my colleagues for the same faculty?

    As an HR advisor, you have access to the job postings of your direct colleagues who work in the same department. However, you may not be able to see all of your colleagues' vacancies. Ubeeo has divided the user rights, where it is possible that you are responsible for a certain part and your colleagues for a different part. Because of this, you may not be able to see your colleagues vacancies. If you still want to have access to the vacancies of your colleagues, follow these steps:

    - Go to the Ubeeo dashboard.

    - Click on your own name in the upper right corner.

    - Choose “My account” and then “Access Sharing.”

    - Click on the “pen” and select “Access granted to”.

    - Enter the name of the colleague to whom you want to grant access.

    Due to the GDPR (General Data Protection Regulation), we want to handle candidates data with care. If it is not necessary for your colleagues to have access to candidate data, please do not share your account.

    Why is a vacancy not visible for me?

    If you can't access a vacancy, this is probably because you don't have the right rights. Within Ubeeo you can only view vacancies that you have started yourself or those vacancies where you have been given a role, for example when you are part of the selection committee. In the case of HR advisors, they can view all vacancies for the department or faculty they work for.

    If you need access to a specific vacancy, it is advisable to contact the vacancy holder or whoever entered the vacancy.

    Is it possible to view the vacancy in preview mode before it is published?

    Within the new ATS system it is not possible to preview the vacancy beforehand. This wish has been discussed with the supplier but unfortunately will not change in the short term. To get an idea of what the job will look like on the website, you can view the job description in PDF format. You can do this by following these steps:

    - Look up the vacancy in Ubeeo.

    - Go to the vacancy page.

    - Click on 'options'.

    - Then click on 'job description in PDF'.

    How can I delegate my tasks within the new ATS so that my colleague can take over my responsibilities during my absence?

    When you are temporarily away and there are multiple open positions that require attention, it may be convenient to delegate your responsibilities to a colleague. You can do this by following these steps:

    - Go to the ATS dashboard.

    - Click on your own name in the upper right corner.

    - Choose “My Account” and then “Access Sharing.”

    - Click on the “Pen” and select “Access granted to”.

    - Enter the name of the colleague to whom you want to grant access.

    The colleague to whom the tasks have been delegated can verify this by going to the dashboard and clicking on the button to the left of their name. If it lights up green, it means you see the data your colleagues have shared with you. If you only want to see your own jobs, click the same button again

    Note! Only the original user will receive notifications via email for delegated tasks. The colleague who the tasks have been delegated to will have to check the dashboard manually to see if there are any open tasks.

     I have been added to the selection committee, but when I look on my dashboard at 'my jobs' or 'new applicants' I don't see anything. Where can I assess the candidates?

    Within Ubeoo, a distinction is made between vacancies in which you are directly involved and/or indirectly involved. You are directly involved in a vacancy when you have been assigned one of the following roles: HR Advisor, Recruiter or Job Owner. You are indirectly involved in the vacancy if you are included in the selection committee to review and/or assess candidates.

    When creating a new vacancy, the system automatically creates a living folder where all candidates will be placed. All selection committee members will have access to this living folder containing the candidates. For this reason, the living folder is included on the dashboard under 'Folders' and you can find the candidates by clicking on ' candidates to review'.

    Only when you start a vacancy yourself, all the information can be found on the dashboard under 'Vacancies' or 'Candidates'.

  • Drafting a job vacancy

    Is it possible to modify the vacancy text after it has been approved?

    You can always make changes to the vacancy text, even after the vacancy has partially or fully gone through the approval process. Once the vacancy is published, the changes are visible up to 15 minutes later.

    Where can I find the banners used for the vacancy on the website?

    Can I change the publication date after the vacancy has been approved?

    The publication date can be changed at all times, even when the vacancy has been approved. This does not require going through the approval flow again. You can change the publication date by following these steps:

    - Search for the vacancy in Ubeeo.

    - Go to the vacancy page.

    - Under publication settings, click on the pen.

    - Fill in the preferred date.

    - Save the changes.

    Note! If you have chosen to include the application deadline in the job posting text, you will need to adjust it manually. In addition, adjusting an application deadline also affects the process. Make sure you inform candidates who have applied about this modification, when you choose to extend the application deadline. This is because candidates who have already applied are waiting for a response. In the event the application deadline is pushed forward, this can also create unpleasant situations. Research has shown that most applicants apply just before the deadline. By pushing this date forward the VU often misses out on candidates, which can lead to great frustration from candidates.

    What exactly does the vacatureinvoerder (job entry role) entail?

    The job entry role is automatically assigned as soon as the job is created, this way it is registered who started the vacancy. In the event that you are both the 'job owner’ and the ‘vacatureinvoerder’, your name will be listed twice. This has no impact. In case the administrative processing is handled by an office assistant or secretariat, it is necessary to enter the name of this user at “Commission + Invite 1&2”. Through this role they are able to invite candidates, reject them or take care of other correspondence.

    What exactly does the role of “Committee + Invite” entail?

    The role of Commission + Invite is intended for individuals who are part of the selection committee and will also maintain contact with candidates. Assigning this role allows that person to send correspondence to candidates from within the system. For example, when invitations need to be sent to candidates to confirm an interview. This role is not mandatory to complete.

    Why is a summary/recruiting text important for recruiting candidates? 

    To be more successful in attracting candidates in a tight labour market, it is important to create a summary/recruiting text for the job posting. By using a summary, the job posting has a greater reach. In addition, writing this text offers several more advantages:

    - It triggers the target audience faster.

    - Vacancies are better indexed by Google, this means that your vacancy is easier to find!

    - Since the vacancies on our website use a recruiting text, it ensures more uniformity.

    What is the advantage of introducing a publication deadline?

    Due to the tight labour market, it is more difficult to recruit enough candidates to fill vacancies. Introducing a publication deadline ensures more responses. In addition, introducing a publication deadline ensures that the vacancy is removed from the website and all “free” vacancy job boards. This prevents candidates from trying to apply for a vacancy that is no longer available and ending up on a dead link.

  • Approving vacancy

    How long does it take before my vacancy is published?

    How long it takes for the vacancy to be published depends on the other parties involved in the approval process. In total, the vacancy has to be approved by at least three people, the job owner, HR advisor, and ATS support. After ATS support approves the vacancy, it takes a maximum of 15 minutes before it is visible on the website (If the publication period has started). It is therefore wise to start drafting the vacancy on time so that it can go through the approval process on time.

    My colleague is absent for a longer period of time how can we still approve the vacancy?

    It is of course possible that someone is absent. When it comes to expected absence it is advisable to share your vacancies with your colleagues. If this is not possible you can ask the job owner or HR adviser to remove the absent colleague and enter another colleague to ensure that the approval process does not stall. If the jobowner or HR adviser is not present you can always contact vacaturedesk.hrm@vu.nl by forwarding the request including the manager's approval.

    How exactly does the approval process work?

    At VU, there is an approval process for publishing a vacancy that goes through several steps: first the job owner, then the HR advisor, and finally ATS support. This approval process is designed to ensure that only the correct vacancies are published and errors are eliminated. Only after all the steps in the approval process have been completed will the vacancy actually be published on thr website.

  • Publishing the vacancy

    When will my vacancy be visible on the website?

    The vacancy is visible on the VU website when the following three conditions are met:

    - The vacancy has gone through the entire approval process.

    - At least one language has been selected in which the vacancy will be published.

    - The set publication period has started. The publication period refers to the start and end date entered when the vacancy was created.

    If you want to check whether the vacancy is online, you can do this by clicking on the tab 'status' on the vacancy page in Ubeoo. When the vacancy is online, a green check mark will appear on the left side. If it is not, you will see a red cross appear. Once all the steps above have been completed, it takes a maximum of 15 minutes for the job to appear on our website.

    The vacancy is already online, but I still want to make changes. Is this possible?

    Ubeeo is an intuitive system and you can always make changes to the vacancy. These changes take a maximum of 15 minutes before they are visible on the website.

    Attention! If you make changes to the job characteristics, such as salary scale, terms of employment, and so on, these must be manually updated in the job posting. The ATS does not automatically adopt these changes after the text is already published.

    I would like the vacancy to be posted on both LinkedIn and Academic Transfer. How can I arrange this?

    All vacancies posted on the VU website are automatically posted on LinkedIn. In addition, all academic vacancies are automatically posted on Academic Transfer and ResearchGate, requiring no additional actions. Changes to the vacancy on external job boards are also made automatically, but this can sometimes cause some delays. As a result, adjustments may take longer, in some cases several hours.

    How can I withdraw my vacancy?

    You can withdraw your vacancy at any time. You can do this very simply by taking the following steps:

    - Look up the vacancy in Ubeeo.

    - Go to the vacancy page.

    - Click on the blue button 'withdraw job' in the upper right corner.

    - When you click on this you have two options: vacancy withdrawn and vacancy fulfilled. Choose the option that applies.

    - The vacancy has now been withdrawn.

  • Building the selection committee

    How do I put together the selection committee?

    To put together a selection committee, follow these steps:

    - Go to the vacancy in question.

    - Click on 'Options' in the upper left corner and then on 'Folder access'.

    - Select one or more selection committees you want to use.

    - Choose the rights you want to assign to the selection committee and set how long the members have time to review the candidates.

    - Confirm your selection by saving your changes at the bottom right.

    - Return to the job page and click on 'Options' again and then on 'Assemble Committees'.

    - At the top left, you can click on a green plus sign to add members.

    - At the bottom of the page you can choose which selection committee you want to add members for.

    - After you have made the changes, save them.


    Is it possible to assign different roles to members within the same selection committee?

    In our current ATS, we have three different permissions for the selection committee, which are different roles:

    - View: Allows committee members to view candidates, but cannot review them.

    - Review: Allows the committee to evaluate candidates.

    - Review & Share: Allows committee members to evaluate candidates and share the their feedback and folder with other users.

    When you assign review rights, all committee members have the same rights to review candidates.

    In the previous ATS system, it was possible to assign different roles to committee members within the same selection committee. However, within the new ATS system, it is not possible to set specific permissions per committee member.

    So within the same selection committee, it is not possible. However, it is possible to create different committees that also have different permissions attached to them. You can choose for example that the 'letter selection committee' only has the right to look at the candidates, while 'selection committee 1st interview' also has the right to evaluate the candidates. Thus, members are also given different roles/rights.

    Can I add someone from outside VU to the selection committee?

    Users without a VUnetID cannot login to Ubeeo, a temporary account must be created for this purpose. You can do this by sending an email to Vacaturedesk.hrm@vu.nl with the first and last name of the person concerned and his/her email address. When the account has been created, the user concerned will receive a message that he/she has access to the system. The job owner/vacatureinvoerder must then ensure that the external user is also added to the vacancy as a selection committee member.

    An external committee member does not have access

    When a user receives a notification from the system that they have access to UBEEO it does not mean that they can automatically see the vacancy they have been asked for. It is up to the job owner/vacatureinvoerder to ensure that the external is attached to the vacancy after being added in the system.

    In exceptional cases, an external may already have access to a UBEEO environment other than VU's. In that case, please send an email to vacaturedesk.hrm@vu.nl so that they can request UBEEO to grant this user access to more UBEEO environments.

    How can I change the rights of selection committee members?

    The rights of the selection committee can be changed at any time. You can do this by going to the vacancy. Click on 'options' in the top left corner. If you have already set up the selection committee, click on 'Assemble committees. Then click on the pen next to the selection committee where you want to change the permissions. You then have a choice of 'Share', 'Review' and 'Share and review'. You can also change the date until which members of the selection committee have access.

    Why do selection committee members no longer have access to candidates?

    If selection committee members previously had access to the candidate folder and now no longer have this access, the review period has most likely expired. To extend the review period, go to 'options' in the vacancy and click on 'assmeble committees’. From there you can view and extend the period during which the selection committee has access. After that they will have access again.

    Selection committee member cannot log into Ubeoo anymore, how is this possible?

    Committee members can always log into Ubeoo if they have an active account through this link: https://admin.ubeeo.nl/#/dashboard

    If committee members have lost their login credentials, they can change them themselves by clicking 'reset password'. If they are really unable to change their login credentials, they can email vacaturedesk.hrm@vu.nl and ATS Support can create a new password for them.

  • Assessing candidates

    What is the reason I cannot invite or reject candidates?

    As a member of the selection committee, you only have have access to the candidates to assist in the evaluation. However, only users with direct roles within the vacancy, such as the Recruiter, thejob owner, the HR Advisor or someone with the role “committee +invite”, have the authority to invite, accept or reject candidates. If you don't have any of these roles, then you won’t be able to invite or reject candidates. In that case, ask the job owner to assign you the role of: Committee + Invite.

    Is it possible to temporarily park candidates?

    Since March it is possible to put candidates 'on hold'. This can be useful when, for example, the candidate still has to deliver something. You can do this very easily by changing the status of the candidate. When you invite a candidate for a type of interview, you now also see the option to put the candidate on hold.

  • Communication with the candidate

    Who has the authority to invite or reject candidates?

    You have the authority to invite candidates if you have one of these roles in a job posting:

    - Jobowner

    - Vacatureinvoerder / Job entry role

    - HR Advisor

    - Recruiter

    - Committee + Invite

    If you do not possess any of these roles but would still like to have access to one of these roles, you should contact the job owner or vacatureinvoerder. They may be able to assign you one of these roles.

     
    Why can candidates only provide a limited number of documents?

    Taking into account the type of vacancy, candidates can only submit a limited number of documents with their application. For WP vacancies, it is set that candidates often need to submit multiple documents and for this reason, it is set that by default they have the option to add more documents to their application. If candidates wish to submit more documents than initially possible when applying, they can go to their personal candidate portal, using this link: Candidate Portal | Working At VU. In the candidate portal, candidates can view their current job applications and have the option of adding additional documents to their open application(s). This option is not restricted, so the amount of documents the candidate wants to submit is not a problem. The documents are automatically added to the system and to the candidate’s application.

    How do I add text formatting/layout to a template?

    To add formatting/layout (Bold or Italic) in an email template to candidates, you can use the following brackets in the text. 

    You can use [ft:b:TEXT] to make the text Bold and use [ft:i:TEXT] to make the text Italic. The words ft:b: must remain inside the brackets to apply the formatting properly.

  • Applying internally

    Why do I have to login for the internal job posting website?

    In the old system, you did not have to login to get to the internal job website and the vacancies. Now when you want to get to the internal vacancy website you have to log in with your VUnetID. This is set up so that only VU employees can access these vacancies. Consequently, in the previous system it was possible that external candidates could also access the vacancies posted on the internal website. Because  internal employees now log in with their VUnetID this is no longer possible.

  • Notifications

    What is a process overrun/procesoverschrijding?

    When you receive a process overrun notification, it means that you have a task waiting to be completed. This could mean that you have been assigned a task by a colleague, for example to evaluate candidates, and the deadline for this has been exceeded. It can also mean that there are candidates in the application process for which an action is still required, such as changing the status of the candidate(s).

    Example: When candidates remain on 1st interview, while in reality 1 candidate was hired and the rest received a rejection by telephone, it is unclear just based on the information in Ubeoo what the status of the candidates is. It is therefore important to also always register in the system which candidates have been rejected after an interview or have moved onto a second interview, and finally to register which candidate(s) has/have been given the status 'hired'.

    How can I turn off notifications about process overruns/prcesoverschrijdingen?

    Notifications about process overruns cannot be turned off. For the correct processing of recruitment data, it is important that the data is processed correctly in the system. Once the task associated with the process overrun is completed, you will no longer receive these notifications.
