Support for managers with the registration of new staff

Managers can receive support with the registration of new staff. The self-service option for new staff (both internal and external employees) is accessible to non-managers.

As a non-managerial employee, you can prepare and initiate these processes for the managers in your unit. That includes all managers from your faculty or department, in addition to your own.

The manager in question is, however, still responsible for the content of the entire registration; you just support them in this process.

How does it work?

All employees who have employment contracts with VU Amsterdam have authorisation to initiate the self-services option for new staff, whether they be new internal employees or new external employees.

A manager from your faculty or department can appoint you to support them with the preparation and registration of new staff. If a manager appoints you, they do not do so via the self-service option, but will instead ask you personally for this support. In so doing, they will immediately provide you with all the required details from the new agreement. The manager will usually request the support of a secretary or another employee from the unit who already plays a supporting role, but this need not be the case. The only requirement is that the supporting employee has an employment contract with VU Amsterdam. It is therefore not possible to appoint an external employee. Employees who already play a role in the self-services workflow are another exception: they cannot initiate new staff.

Please note that you cannot get started until the manager or the HR Advisor has created an FTE position for the new employee.

Workflow will remain otherwise unchanged

After the supporting employee has prepared and initiated the registration, the relevant manager is given the task of assessing all information you have entered, to change it if necessary and to then approve it. Thereafter, the remaining workflow will proceed unchanged. The new employee will be asked to fill in their personal details and the HR Advisor will be given the task in the workflow to approve the agreement. If anything is rejected later on in the workflow, the task will always be returned to the responsible manager, never to you as the supporting employee.

More technical and other information about how the relevant self-service option works, can be found in the Service Portal. This information can therefore also be used for the administrative processing of new staff. Please keep in mind that the relevant self-service option and the informational texts are addressed to managers. As a supporting employee, you will use the same functionality as was developed for managers for the registration of new staff.
