Ancillary activities information

Ancillary activities are paid or unpaid tasks carried out for third parties. These tasks are unrelated to the your university affiliation and cannot be construed to be part of your university affiliation. You must secure the consent of your supervisor before engaging in ancillary activities.

This also applies to functions as a board member, director or partner in a business, foundation, or association.

View, request, amend, or discontinue

After receiving permission from your supervisor, you register your ancillary activities with the self-service option View, request, amend, or discontinue ancillary activities (via the blue 'Take action now' button). By signing digitally, your supervisor gives you permission to conduct your ancillary activities. Your supervisor may deny consent in certain circumstances. You may also use this self-service option to change your ancillary activities or discontinue them in whole or in part.

Permission for publication

In accordance with the Netherlands Code of Conduct for Research Integrity, Vrije Universiteit Amsterdam publishes the ancillary activities of its academic staff. You must use the self-service option View, request, amend, or discontinue ancillary activities to request permission for these activities. Following commencement of employment, your ancillary activities will be automatically published on your personal profile page on the VU Research Portal. Please note: you may refuse consent for publication, but this will require written approval from your dean. Refusal to publication may also be a reason for the employer not to grant permission for the ancillary activities.

Please note: publication of your ancillary activities on the VU Research Portal takes place automatically after you have registered your ancillary activities via the self-service option View, request, amend, or discontinue ancillary activities. Directly registering your ancillary activities via Pure in the VU Research Portal is not allowed, because this way no formal permission takes place and your ancillary activities are not recorded in the personnel information system; both are mandatory. 

Change to wage tax and national insurance contributions credit

Starting or changing ancillary activities may affect your wage tax and national insurance contributions credit. Use the Wage tax and national insurance contributions credit change form (see Report a change to wage tax and national insurance contribution credit) for this purpose.

Annual task

At VU Amsterdam, we remind employees via an annual task to verify their registered ancillary activities and to amend them if necessary. After HR sends the task, it is visible in the task list. Employees will also receive a notification via e-mail.

In the task and notification, there is a direct link to the self-service option Ancillary activities, which allows the employee to amend their ancillary activities if necessary or possibly add new ancillary activities not previously registered.

After the verification and possible amendments, the employee completes the task by answering one of the following options:

  1. My ancillary activities were no longer up-to-date and have now been updated
  2. My ancillary activities are still up-to-date
  3. I have no ancillary activities

In case of new ancillary activities or amendments to existing ancillary activities, the manager will receive a request to approve the ancillary activities.
