Guidelines research funds

An increasing number of research funds demands that publications resulting from their grants be published (immediately) Open Access. Hence, it's important to pay close attention to the requirements while writing your research proposal.

Did your publication come about with a grant from a research fund? Make sure that you always include the cost of Open Access publishing in the project budget.

You can consult the Open Policy Finder database to find out about your fund's Open Access policy. For specific journals, you can find out how to meet the research fund's Open Access requirements using the Journal Checker Tool (developed by cOAlition-S).

Plan-S: the guidelines and requirements for Open Access
In 2021, a consortium of research funds adopted a policy (Plan-S) that sets out the requirements for Open Access. The main requirements state that scholarly output must be made Open Access immediately under an open (Creative Commons) licence and with copyright retained. Examples of research funders that follow Plan-S guidelines include NWO and Horizon.

Checklist for researchers

  • During the project proposal

    • Check whether the research fund has requirements for Open Access publishing
    • Check whether a budget for Article Processing Charges (APCs) can be included in the proposal 
    • Check whether other agreements have been made with publishers through the research funder
  • While writing or submitting a manuscript

    • Consider applying the Rights Retention Strategy (if the fund offers this) to maintain the copyright of your accepted work (Author Accepted Manuscript/AAM)
    • Consult the VU Journal Publishing Guide to check if the journal you want to publish in allows OA publishing and whether there is a VU agreement on Open Access publishing 
    • Check the website for the terms and workflow of the publisher 
    • Please note that the corresponding author has an affiliation with VU or AUMC: location VUmc
  • During submission

    • Always use your VU or AUMC: location VUmc email and work address
    • While submitting, indicate that you want to publish Open Access
  • After publication

    • Check on Open Policy Finder which version of the article (e.g. pre-print or post-print) can be made freely available at what time
    • Upload the final version of the article in the VU Research Portal (Pure), possibly subject to an embargo period (AUMC: location VUmc researchers can contact the AUMC Medical Library)
    • 6 months after your publication, your article will automatically be made available Open Access in the VU Research Portal (Pure), unless you choose to opt-out
