Monthly update status daily annoyances as of May 11th
Below is the status of incoming notifications by topic. If you want to know more about a specific notification, please contact us at: vuture@vu.nl.

Complaints about procedures, working methods, etc. are best addressed to the service desks of our services. This page on our service portal tells you what you can report to which service desk. For issues outside this area, we look for solutions together with the service to which the report is best suited. Below you can read the status of this as of 11 May.

HRM

Set up replacements in one place
VU has deliberately opted for a standard system. This means that customisation, such as setting replacements in one place, is not possible. On vu.nl you can find more information and explanations about 'replacement finance tasks' and about 'replacement HRM tasks'

Self service when extending or terminating employment not always nice
The VU deliberately chose a standard system in which customisation is not always possible. Since 2012, the VU has been using a self-service system. Workflows in this are initiated at source, i.e., where possible by the employee himself, partly to reduce the administrative burden on the manager. This way of working has substantially reduced the number of changes that are introduced retrospectively, because in practice it appears that the employee himself has more interest in processing a change quickly and on time than the manager. There is therefore no reason to question the system choice made earlier.

Filling in allowance or gratuity amount impossible
When setting up the system, a conscious decision was made to record allowances and gratifications in percentages. As a result, when a salary changes due to a periodic increase, promotion or a CAO increase, they are automatically adjusted to the new salary. With a fixed amount, this is not possible and these amounts would have to be recalculated manually whenever the salary changed.

Applications

Why does the payslip automatically open in Chrome?
VU supports the use of the browsers Microsoft Edge (default browser of Microsoft 365) and Google Chrome. Vendor developments of these do not always match the specifications applicable within VU applications.

IT and AVC facilities

No 'loaner laptops' for general use after Windows 11 migration
Loaner laptops will be offered as a new variant within digital workplace services. This solution will become available in 2025.

AVC equipment too diverse and sometimes not working
When asked why there seems to be no check on adequate functioning of our AVC facilities, there is no ready answer. The Audio Visual Department is in the process of unifying our AV assets. However, there will always be (due to replacement) different types of equipment. Therefore, you can now find instructional videos on how to use the AVC facility via an on-site QR code.

Management information

Inadequate management information on study progress
We received a request to get different insights on progress per student via management information. Because student records turned out to be insufficiently insightful and study history is not easily visible (especially with lacunae).
Based on the available information, we came to the conclusion that the inaccessibility of the requested information may have to do with the separation of functions (concerns information that can only be viewed via the student dean) or that the person does not have the necessary authorisation. Thus, this may explain that someone does not have and is not granted rights because it does not fit the function of this person. Especially with personal data, this looks closely.

Accommodation

Capacity and size of meeting rooms
For meeting room capacity, we rely on our current VU housing. There are no plans to realise additional rooms, in addition to the current campus plans. We also lack the financial resources to do so. Where possible, we could look at using rooms more flexibly. For example, by not using them only for teaching, tests or operations. An idea has emerged to use a sequence for the first issue. If rooms are available afterwards, they can be used more flexibly. VUture instructed the departments involved to draw up a plan for this more flexible use.
