VU Archive Solution for Users Who Archive Data

As an archiving user of the VU Archive Solution, you ensure that information is entered into the Corsa Archive Solution in a structured and accurate manner.

Proper archiving starts before Corsa: work neatly, use clear names, and link documents to the correct file, process, or meeting. The key user determines what needs to be permanently archived. Not sure? Ask your key user.

Ask yourself the following questions

  • Information objects: Which ones should I archive?
  • Source system: Teams, iBabs, SAP SLCM, or another integration?
  • Destination: Which archive folder, meeting, or integration?
  • Timing: When is the information ready for archiving?
  • Naming conventions and metadata: What guidelines apply?
  • Contact person: Who is my key user?

What does the workflow look like?

Before archiving – work in an organized manner

  • Right place, file, process, or meeting
  • Clear file name
  • Complete, no duplicate or temporary files

During archiving – use the agreed-upon route

Teams → Corsa | iBabs → Corsa | SAP SLCM → Corsa | other integration. Do not use your own route outside of agreed-upon procedures.

Check after archiving

  • Correct archive folder/meeting/link
  • Correct file/process
  • Correct naming, metadata, and version
  • Was processing successful?

Interim or final archiving?

  • Process/file is still in progress: interim archiving
  • Information is complete and finalized: permanent archiving
  • Not sure? Ask your key user
