First file registered in VU Archive Solution

On 1 July, the first file was officially registered in VU Archive Solution: the new, centralized location where important information with a retention period of 10 years or longer is securely stored.

Together with key users and colleagues involved, we celebrated the go-live and the completion of the first implementation phase.

One central location for long-term storage

Much of the information that needs to be retained long-term is currently scattered across various systems. As a result, these documents are sometimes difficult to locate or are not adequately protected. The Archive Solution (the Corsa system) brings all this information together in one central, reliable location. Documents are stored securely, remain easy to find, and comply with applicable laws and regulations.

The Archive Solution is not a work environment, but a digital repository. Archived documents cannot simply disappear or be modified.

First implementation phase successfully completed

With the completion of the first implementation phase, the first organizational units can now actually start using the Archive Solution. Experience has been gained with various types of information and workflows. For example, work has been done on archiving from Teams at FCO Project Management, Finance, Information Management (Document Management and Archives, DMA), Study Guides/SOZ, and the University Library’s secretariat. Preparations have also been made to integrate iBabs meetings.

This phase provided an opportunity not only to test the technology but also to further improve work processes, roles, instructions, and support.

Next Steps

The rollout will be further expanded in the coming months. New pilots and integrations will follow this year, including at HRM, SOZ, Bèta, iBabs meetings, and other information collections that must be retained for 10 years or longer.

As of 1 January, 2027, the Archive Solution will transition from a project to a regular service within DMA. From that point on, new organizational units will also be able to connect.

In this way, we are building, step by step, a single, reliable digital archive for VU Amsterdam: important information is properly preserved and always retrievable.
